00 / Features

Open the toolbox.

Seven tools that share one ledger: invoices, matched payments, retainers, reminders, receipts, a command palette and a permissions model. Here is each one, with the screen it lives on.

01 / Branded invoices

An invoice that looks like your studio sent it.

Upload a logo, pick a layout and save it as a template. Every new invoice opens with your terms, your pay link and your sign-off in place, so only line items and tax are left to type.

A finished invoice in the time it takes to name the client.

In your weekFinish a job, press N, pick the client, send with ⌘↵.

02 / Payment matching

Every deposit finds its invoice.

Card payments and bank transfers are pinned to an invoice by amount, reference and client. When two candidates fit, Stapler asks first and leaves the choice to you in one click.

Sunday nights stop belonging to your bank statement.

In your weekOpen Payments on Monday, confirm the one flagged deposit, done.

03 / Recurring billing

Retainers that bill themselves.

Set a schedule once: monthly, quarterly or whatever the contract says. Stapler issues, sends and collects each run. Pause a client or change an amount without touching a single past invoice.

The first of the month becomes a non-event.

In your weekSign a retainer, add the schedule, forget it until the deposit lands.

04 / Polite reminders

Reminders with manners.

Build a sequence: a nudge before the due date, a friendly note the day it lapses, a firmer follow-up with the pay link attached. A payment or a reply stops the sequence by itself.

Chasing clients without sounding like you are chasing.

In your weekPick a sequence once; override it for the one client who likes a phone call.

05 / Receipt capture

Receipts filed before they're crumpled.

Snap or forward a receipt and Stapler reads the vendor, date and total, files it under a category and can attach it to the client it was spent for. Billable costs ride along on the next invoice.

Month-end stops being a shoebox.

In your weekForward the email receipt from the train; it is categorised by the time you are home.

06 / Ageing + cash view

See who is late before they are very late.

The dashboard groups every open invoice by how long it has been waiting and charts the weeks money actually arrived. Click a bar to see the invoices inside it and send reminders from there.

One glance tells you whether this is a calm week or a chasing week.

In your weekFriday check-in: scan the ageing bars, bulk-remind the red ones, close the laptop.

07 / Roles + command palette

Give the team keys, not the whole building.

Invite teammates as Owner, Biller or Viewer, and decide who can send, who can refund and who can only look. Everyone gets ⌘K: type a client, an invoice number or an action and jump straight there.

An agency can share the books without sharing every button.

In your weekA new project manager joins Monday; by lunch they are sending drafts that you approve.

08 / Security

Money software should be boring about safety.

The unglamorous parts, handled the unglamorous way: encrypted data, card details that never touch your inbox, and a record of who did what.

Card details stay with the processor.

Your clients pay on a hosted pay page run by a PCI-compliant processor. Card numbers never land in Stapler or in an email thread, so there is nothing sensitive to leak from a forwarded invoice.

Encrypted in transit and at rest

Every connection uses TLS, and stored invoices, client records and receipts are encrypted on disk.

Audit log

See who edited, sent or refunded, and when.

Two-step sign-in

Require an authenticator code for every member.

09 / Integrations

Plugged into the tabs you already live in.

Link the work to the line item it paid for, so a client question about an invoice is answered by one click instead of one long search.

Project work

Jira + Trello

Attach a ticket or card to a line item; the client sees the reference, you see the status.

Design

Figma

Link the file behind “Brand refresh, 2 rounds” right on the invoice.

Documents

Dropbox

Keep the signed contract beside the retainer it created.

Support

Zendesk

Keep a client's thread next to the invoice they are asking about.

Usage billing

Datadog

Send monthly usage totals into metered line items automatically.

10 / Reliability

Built to be there on the 1st, the 15th and the 31st.

Invoices go out when scheduled, deposits are matched when they land, and if something is off you will see it on a status page before you have to ask.

Scheduled sends hold

Recurring runs queue ahead of time and retry if a send fails, so a retainer never skips a month quietly.

Nothing matched blindly

Ambiguous deposits wait for your confirm. Nothing is marked Paid on a guess.

Your data is yours

Export invoices, clients and expenses as CSV or PDF whenever you like.
